Outlook's Quick Parts Feature

If you have to send the same type of email frequently, it might be beneficial to set up Quick Parts, which are reusable email message parts that are stored on your computer.
 

  1. Type the text you wish to re-use into a new email and then highlight it.

  2. Click the Insert tab at the top. Click Quick Parts and select Save Selection to Quick Part Gallery.

  3. In the new window that pops up, choose a name for your text. Click OK.

  4. From now on, every time you need to type the same message, click Insert, then click Quick Parts, and choose the message you need from the list.
