Assigning Security Access in Govs Suite

Assigning access in Govs Suite is handled by assigning roles in the security console of Govs Suite. The person Assigning the access must have the IT Security Manager role to gain access to the security console. The steps to give someone a role is listed below.

  1. First login to Govs Suite and navigate to the security console from the Tools sections below

  1. In the security consoles click on Users and then type in the username or last name, first three characters is enough, then hit enter. The search works well. Click on the user.

  1. Click on Edit at the top left

  1. In this screen you can edit information, remove all roles, or click the X to remove a particular role. Click Add Role

  1. Just type the role and it will appear in the box, select it, then hit Done and click Save and Close. You have added the role.

  1. Add Data Access for Certain Roles. This needs to be added for Finance Roles like General Accountant, Budget Manager, and some of the Procurement Roles. HCM/Payroll roles do not use data access so if you are assigning a role for HCM or Payroll you can stop after assigning the role. First click on Setup and Maintenance from the top right side Initial icon and type in Manage Data Access for Users, you can type just Manage Data and a list will populate

  1. Add the data access for the roles needed. The search field works really well and quick just type the first 3-4 letters and the username shows. Once done, just click save and close and then Done at the top right of the screen. In most cases users just need the Security Context of Business Unit with value of A or F (Chart/Entity) or Data access set is APSU Primary. There are some roles in the procurement side that might need more. If the user does not have data access it will show on their side and they can give you the specific security context. The field will be blank on their side.
