ChatGPT is an AI tool that can enhance productivity, support teaching and learning, and streamline administrative tasks. APSU currently approves the use of ChatGPT Pro only. This version is not linked to APSU Single Sign-On (SSO) and must be used responsibly to protect university data.

Data Security & Compliance

Using AI safely is a top priority at APSU. Since ChatGPT Pro is not designed for enterprise or zero-retention environments, users must adhere to strict data-handling guidelines.

What You Cannot Enter into ChatGPT 

Never submit any sensitive or confidential APSU information, including:

  • Student records (FERPA)
  • Medical or disability-related information (HIPAA)
  • Financial, payroll, or HR information
  • Internal documents or proprietary system details
  • Passwords, shared secrets, or authentication details
  • Research data not approved for public release

Safe Use Expectations

  • Use ChatGPT Pro only for general, non-sensitive tasks.
  • Verify all AI-generated content for accuracy.
  • Do not reuse your APSU password for ChatGPT.
  • When unsure, consult OIT before uploading or generating content.

How to Access ChatGPT

ChatGPT Pro is not integrated with APSU credentials or systems. To use it:

  1. Visit https://chat.openai.com
  2. Create an account with a personal or APSU email address
    (Note: This login is not managed by APSU.)
  3. Log in and follow on-screen steps to upgrade to ChatGPT Pro if needed.

Users are responsible for managing their own login, password, and subscription details through OpenAI.

Purchasing ChatGPT Pro for APSU Business

If ChatGPT Pro is needed for university-related work, the purchase must follow APSU’s approval and funding policies.

Steps to Request Approval:

  1. Submit a ticket here through the GovsTech Portal.
     
  2. After approval, you may purchase ChatGPT Pro using:
    • Departmental P-Card
    • Departmental or grant funds (if permitted)

Cost:

  • ChatGPT Pro typically costs $20–$25 per month.
  • Subscription fees are paid directly to OpenAI.

Important Notes

  • Each subscription is individual and cannot be shared.
  • APSU OIT does not manage, recover, or reset OpenAI accounts.
  • Users must cancel or update their own subscriptions directly through OpenAI.
