Create a Non-Catalog Item Requisition

  1. On the main shopping page, select Non-Catalog Item at the top. This is to create a requisition that issues a purchase order to vendors not under the Punch-Out section or Apple.

  2. When purchasing through Non-Catalog Item, you will need to know the vendor name, the item(s) you are buying, and the item(s) cost.
    • Enter Supplier: Start typing the vendor name and choose from the drop-down vendor list. The default address is what will populate. If there is more than one address, please select the correct one.
    • In Product Description, put in the description of the item you are purchasing, fill in the quantity and the price.Change the packaging as needed. If you have a quote, reference your quote number in this box along with the description. You do not have to put in Catalog No or Product Size if you do not know them.
    • If this is all you are ordering, click Save. If you need to add another line item, click Save And Add Another.

  3. Once you have saved, go to the top of the screen. You will see a cart with the amount beside it. Click on the amount then Checkout.

  4. On the right side, under the purple box that says Draft, will be the items that need to be addressed.

  5. Do any lines on the PO have a qty of 2 or more? This question is in the General box on the top left side. If you wish to do a quantity receipt (receive a number of items), you would answer yes. If you wish to do a cost receipt (receive an amount of money), you will answer no. Click Save.

  6. If your building and room do not populate in the Shipping section, click on the pencil to edit. Fill in the building and room and save. (To save it where it automatically fills in, please see How to Save Address and FOAP Favorites.)

  7. In the Accounting Codes box, you will need to complete the Fund, Org, Account, and Program codes. Click the pencil to edit.
    • Under Fund, click on the magnifying glass. You may search for a fund by the value (all or partial) or description. Type in what you are searching for and hit enter. Click the + sign next to it.
    • Repeat these steps for Org and Account.
    • Program code will be a drop-down.
    • If you are using a Foundation FOAP, you must change the Chart to F.
    • Once you have filled in all the boxes, select Save.

  8. Once all the required fields are filled in, the Submit Requisition at the top right will turn blue, and you are ready to submit the requisition. (To learn how to save FOAPs, please see How to Save Address and FOAP Favorites.) You are now done. The requisition will route to the approvers of the FOAP, and a PO will then be issued.
