OIT defines a project as a temporary endeavor undertaken by or on behalf of APSU that:

  1. Has a clearly defined beginning and ending date;
  2. Provides tangible technology products or services;
  3. Fulfills a defined business objective to substantially improve business processes to a department or that aligns with the university's strategic goals to the technology architecture through new or existing systems.

OIT has set guidance and a process for project intake to responsibly allocate and manage IT resources. There are two types of technology projects: Strategic and Operational.

An IT Strategic Project is one or more of the following:

  • Directly aligns with APSUs’ strategic objectives
  • Transforms or grows APSUs’ capabilities or services by replacing existing, or implementing new, technology solutions
  • Transitions an enterprise service or system hosted on campus to a cloud solution
  • Uses capital expenses 
  • Implementation costs > $20k 
  • Over 100 hours of IT expertise and labor
  • Over 6 months in duration 
  • Medium to High complexity in data migrations, integrations, change management, and/or implementation risks

An IT Operational Project is two or more of the following:

  • Enhances or stabilizes current technology, infrastructure, and processes needed for day-to-day operations
  • No Capital Expenses 
  • Implementation costs < $20k and budgeted 
  • Under 100 hours of IT expertise and labor
  • Under 6 months in duration 
  • Low complexity in data migrations, integrations, change management, and/or implementation risks

Following the submission of the request, the IT Project Management Office will reach out to the requester to discuss their needs. This individual will act as point of contact between your department and the OIT advisory group for their review and prioritization. Project Request Submission Guidelines:

  • Use the Save button to save your project request and return later to make edits or changes before submission.
  • Each section must be marked Complete before you can proceed to the Review and Submit page.
  • Final submission is done via the Submit button on the Review and Submit page.

Additional Tips Before Submitting:

  • Double-check that all required fields are filled out accurately.
  • Ensure any supporting documents or attachments are uploaded.
  • If collaborating with others, confirm that all necessary input has been provided before submission.
